Policies & Code of Conduct

General Policies

Program Changes

Instructors or program content may be changed at The Stage’s discretion, without notice. Information on the online registration system should be considered the most up-to-date. Some programs and classes may have specific requirements and policies.

Fees

Class fees must be paid in full at the time of registration (unless you’ve signed up for autopay in our parent portal). Your payment options are via credit card, cheque, cash or post dated cheques or e-transfers (payment can be made to payments@thestagenewwest.ca). We do not accept cash instalments or debit transactions. Payments or payment arrangements made after the second class will be subject to a $25 late fee.

In the instance where you are paying with post dated cheques or by full cash or cheque payment please make this intention known to the office at the time of your online registration. Please email info@thestagenewwest.ca with your payment information.

Payment can be made by cheque, cash, VISA and MasterCard or e-transfers (payment can be made to payments@thestagenewwest.ca). Credit card payments must be made online via our registration page.

Class Cancellation Policy

Minimum enrollment numbers depend on studio capacity and availability of materials. The Stage will cancel classes with 0, 1, 2 or 3 enrollments one week prior to start date. Cancellations will happen one to two weeks prior to start date and families will be notified via email. Students from cancelled classes may be transferred to another class free-of-charge. Any money paid for a cancelled class will be refunded in the method in which it was paid. The Stage will strive to provide a substitute rather than cancel a class in the event of instructor illness. No refund or make up is eligible for students who miss class.

Withdrawals Requests

All withdrawal requests must be received in writing. Non-attendance or non-payment of outstanding fees does not constitute a formal withdrawal. All requests may be emailed to info@thestagenewwest.ca.

Sessional, Seasonal or Term based programs:

  • All sessional, seasonal, or term based programs are subject to a non refundable deposit of $50. Upon withdrawal fees for the classes already held, including those in which the child was previously absent, and the $50 deposit will not be refunded. Anything paid further will be refunded.

Year Long programs (September-June)

  • All year long programs are subject to a non refundable deposit of $100. One month’s written notice is required. Fees for the terminating month will be collected, but the remaining months will be refunded (minus deposit). Fees paid up to the month of withdrawal and fees for the terminating month are non refundable.

Removal for Conduct

The Stage reserves the right to remove any student or parent who fails to comply with its rules and regulations or who engages in any activity deemed contrary to the fulfillment of The Stage’s objectives.

Age

Students enrolled in session-based programs must be the age of the specific class by age-cut off date. Students enrolled in year-long programs must be the appropriate age for the class as of December 31 of the registering year . The Stage reserves the right to withdraw students who have been registered in an incorrect age entry.

Some age requirements may be specific to individual programs. Please see the individual requirements for the class you are registering for.

Attendance & Absences

Every child who attends a class at The Stage must be registered. Instructors do not have the ability to register students. Attendance is taken at the beginning of each class. No refund or make up is eligible for students who miss class.

If your child will not be attending a class due to illness or otherwise please email the office or the instructor or leave a message on the phone.

Medical/Learning Needs

Parents/Guardians are required to inform The Stage at the time of registration of any allergies, or physical, emotional or learning needs their child(ren) may have. This is to ensure that our instructors are adequately prepared to support your child(ren) as they participate in their class.

Photo/Image Release

The Stage reserves the right to photograph and film students in their classes for advertising and publicity purposes (including but not limited to our social media outlets including Facebook and Twitter, our website, and any printed advertising such as brochures and newspaper articles) as well as teacher education resources (included but not limited to instructional videos for the purposes of training new staff). Students’ names will never be used without written permission by parents nor will any private information including but not limited to time & day of class, name of class and/or location where the photo was taken. If you do not wish to have your child’s image used in any of the above listed advertising or promotional locations, notice must be given in writing and can be sent via email to info@thestagenewwest.ca.

Severe Weather Policy

Weekdays: If schools are closed, classes at The Stage will also not run. In the case of a teacher not being able to make it to class, we will send an email no later than two hours before class is set to begin.
Weekends: In the case of severe weather on weekends, we will send an email out no later than two hours before class is set to begin if class is cancelled. If you do NOT receive an email, then classes will run as scheduled. Please check our social media pages for updates as well.

Code of Conduct

At The Stage we expect all students and family members in our facility to abide by the following Studio Behaviour Guidelines. Please understand that respect is our utmost important governing factor. Respect for children, parents, instructors, administrators, fellow students, the studio space, and oneself.
All Stage attendees and their families should be mindful of the following:
  • arrive to class prepared with all appropriate materials
  • arrive to class on time, ideally 10 minutes early
  • arrive dressed appropriately for your class (Please see our studio dress code)
  • clean up after yourself
  • when needed bring healthy, nut-free foods to your class
  • no running in the hallways or office
  • ensure all of your belongings are stored neatly in the coat room or on the hooks
  • nothing but bottled water in the studio spaces
  • nothing but respectful, appropriate language from everyone, at all times

General Studio Dress Code

0-35 Months Classes

 Children should work in bare feet or have socks that have a very good gripping sole
  • Parents must be prepared to work in sock or bare feet
  • Parents should dress in comfortable clothing and be prepared to sit and move on the floor
  • No shoes are permitted in these classes

3-5 Year Classes

  • children should work in bare feet or have socks with a very good gripping sole
  • comfortable play clothing
  • if skirts or dresses are worn please ensure that shorts or tights are worn underneath
  • please do not wear footed tights to these classes. Sometimes we do barefooted activities and socks are easier to remove and put back on.
  • no shoes are permitted in these classes

*please note that dance programs will have separate dress code requirements

5-7 Year Classes

  • children should work in bare feet or have socks with a very good gripping sole
  • comfortable play clothing
  • if skirts or dresses are worn please ensure that shorts or tights are worn underneath
  • please do not wear footed tights to these classes. Sometimes we do barefooted activities and socks are easier to remove and put back on.
  • no shoes are permitted in these classes

Studio & Performance Classes

  • long hair tied back
  • black dance shoes or gymnastic slippers
  • leggings, pants, or shorts
  • no skirts or dresses
  • no jewellery
  • modest tops that cover the midriff and the shoulders
